Volunteer Information

We’re excited to invite you to be a part of the TEXAAN Conference on February 26-28, 2025, in Houston, TX! Volunteers play a vital role in making this event a success, and your support is invaluable to ensuring an engaging and smooth experience for all attendees.  Whether you’re passionate about supporting your advising community, looking to connect with fellow professionals, or simply want to lend a helping hand, we would love to have you on board.

Guidelines

  • Must complete and submit the TEXAAN Conference Volunteer Formhttps://forms.gle/WdxL6kPJa5YL7y9z7
  • Review the volunteer information that will be emailed to you, so you are best prepared for your volunteer role.
  • Attend volunteer training (either the virtual or in-person option).  
  • You must be registered and paid for the 2025 TEXAAN Conference.
  • Inform the Volunteer Chairs if you are no longer available to volunteer. 
  • Check-in with Tasha/Weston at the Volunteer Area at least 10 minutes prior to the start of your time shift.
  • Wear your volunteer button so it identifies you as a conference volunteer.

 

Areas to volunteer

Please review the volunteer roles listed below.  Select which area you are interested in volunteering with. 

  • Registration & Check-In Support - responsible for welcoming attendees, checking them in, and distributing swag bags and registration materials. Assisting with setting up and tearing down the registration area (depending on the time you volunteer).  
  • Presenter Check-In & VIP Lounge Aid – similar to Registration & Check-In Support, this role is responsible for checking in our presenters and assisting with the VIP Lounge.
  • Session Moderator - responsible for assisting during concurrent workshop sessions by introducing the presenter(s), keeping track of time, and encouraging attendees to fill out online evaluations.  A template/script will be provided.
  • Region Meeting Session Monitor – similar to Session Moderators, this role is responsible for monitoring the Regional Meetings.
  • Marketing Support - responsible for taking photos, videos, and spreading excitement about the conference to attendees.
  • Floater - responsible for helping wherever needed during the conference.  No preference in the volunteer area.
  • Morning Wellness Volunteer - responsible for helping lead wellness activities.
  • Operations & Logistics Support – provide assistance with set-up as needed.
  • Floater – Provide assistance as needed.

    Absolutely!  It is a great opportunity for you to network with other conference attendees.
